Getting Started

Setting Up Your First Mailbox

After purchasing your InboxCore plan, you will receive credentials to access your email. Log in to the webmail portal to configure your mailbox, set your password, and add your first email alias if needed.

Configuring Your Custom Domain

To use your custom domain with InboxCore, you need to add DNS records to your domain provider. This includes MX records for mail delivery, SPF records, and DKIM records for authentication.

DNS Records Explained

MX records tell other servers where to send your email. SPF records verify which servers can send on behalf of your domain. DKIM adds a cryptographic signature. DMARC combines these for full protection.

Apple Mail Setup

Adding Your Account in Apple Mail (macOS)

Open System Settings > Internet Accounts > Add Account. Select 'Other Mail Account'. Enter your name, email address, and password. For incoming server, use your IMAP server address with port 993 (SSL). For outgoing, use SMTP server with port 587 (STARTTLS).

Adding Your Account in Apple Mail (iOS)

Go to Settings > Mail > Accounts > Add Account. Choose 'Other' and then 'Add Mail Account'. Enter your credentials and server details. Use IMAP for incoming mail (port 993, SSL) and SMTP for outgoing (port 587, STARTTLS).

Troubleshooting Apple Mail Connection Issues

If Apple Mail cannot connect, verify your username is your full email address. Check that SSL is enabled for incoming mail and STARTTLS for outgoing. Ensure your password is correct and your account is active.

Syncing Calendars and Contacts (macOS/iOS)

InboxCore supports CalDAV for calendars and CardDAV for contacts. Add these as separate accounts in System Settings or iOS Settings using your webmail credentials and the appropriate server URLs.

Microsoft Outlook Setup

Adding Your Account in Outlook (Windows)

Open Outlook and go to File > Add Account. Select 'Manual setup' and choose IMAP. Enter your email address, incoming server (IMAP, port 993, SSL/TLS), and outgoing server (SMTP, port 587, STARTTLS). Use your full email address as the username.

Adding Your Account in Outlook (Mac)

Open Outlook for Mac and go to Outlook > Preferences > Accounts. Click the + button and select 'New Account'. Enter your email and follow the prompts. If auto-detection fails, manually enter IMAP and SMTP server details.

Outlook Mobile App Setup

Download Outlook from the App Store or Google Play. Tap 'Add Account' and enter your email address. Select 'IMAP' when prompted and enter your server settings. Use port 993 for incoming (SSL) and 587 for outgoing (STARTTLS).

Fixing 'Cannot Connect to Server' Errors

Check that you are using the correct server addresses and ports. Verify SSL/TLS settings match the requirements. Ensure your firewall is not blocking ports 993 and 587. Try removing and re-adding the account.

Mozilla Thunderbird Setup

Adding Your Account in Thunderbird

Open Thunderbird and go to Account Settings > Account Actions > Add Mail Account. Enter your name, email, and password. Click 'Configure manually' and set IMAP for incoming (port 993, SSL/TLS) and SMTP for outgoing (port 587, STARTTLS).

Configuring Server Settings

Incoming Server: IMAP, your mail server address, port 993, SSL/TLS, Normal password authentication. Outgoing Server: SMTP, your mail server address, port 587, STARTTLS, Normal password authentication.

Adding Calendar Support (Lightning)

Thunderbird supports calendars via the built-in calendar feature. Add a new network calendar using CalDAV and enter your calendar URL from the webmail settings. Use your email credentials for authentication.

Android Email Setup

Gmail App (IMAP Setup)

Open Gmail app > Settings > Add account > Other. Enter your email and select 'Personal (IMAP)'. Enter incoming server details (port 993, SSL) and outgoing (port 587, TLS). Complete the setup wizard.

Samsung Email App

Open the Email app > Add account > Other. Enter your email and password. Select 'IMAP account' and enter server details. Use port 993 with SSL for incoming and port 587 with TLS for outgoing mail.

K-9 Mail / FairEmail Setup

These apps offer excellent IMAP support. Add a new account with your email credentials. If auto-detection fails, manually enter IMAP settings (port 993, SSL) and SMTP settings (port 587, STARTTLS).

Webmail & User Settings

Accessing Webmail

Log in to the webmail portal using your email address and password. The webmail interface allows you to read, compose, and organize email from any web browser without installing software.

Changing Your Password

In webmail, go to Settings > Password. Enter your current password and your new password twice. Choose a strong password with at least 12 characters, including numbers and symbols.

Creating Email Aliases

Aliases let you receive email at additional addresses without creating separate mailboxes. In webmail settings, find the Aliases section and add new addresses that will deliver to your main inbox.

Setting Up Auto-Reply (Out of Office)

Go to Settings > Filters or Auto-Reply. Enable the vacation responder and set your message, start date, and end date. You can customize who receives the auto-reply.

Managing Email Filters and Rules

Filters let you automatically sort, forward, or delete incoming email. In Settings > Filters, create rules based on sender, subject, or other criteria to organize your inbox automatically.

Email Forwarding

To forward all incoming email to another address, go to Settings > Forwarding. Enter the destination address and choose whether to keep a copy in your mailbox or forward only.

Troubleshooting

Email Not Sending

If your email is not sending, check that your SMTP settings are correct (port 587, STARTTLS). Verify your username is your full email address. Check if you are connected to the internet and try sending a test message.

Email Not Receiving

Verify your MX records are correctly pointed to InboxCore. Check your spam folder. Ensure your IMAP settings are correct and your connection is active. Try accessing webmail to confirm messages are arriving.

Authentication Failed Errors

Double-check your password is entered correctly. Ensure you are using your full email address as the username. If you recently changed your password, update it in all email clients.

Connection Timeout Errors

Check your internet connection. Verify firewall settings are not blocking ports 993 (IMAP) and 587 (SMTP). Try temporarily disabling antivirus email scanning. Contact support if the issue persists.

Certificate Errors

InboxCore uses valid SSL certificates. If you see certificate warnings, ensure your device date and time are correct. Update your operating system and email client to the latest version.

Email Marked as Spam by Recipients

Ensure your SPF, DKIM, and DMARC records are properly configured. Avoid sending bulk email or content that triggers spam filters. Build your sender reputation gradually with quality content.

Security & Privacy

Enabling Two-Factor Authentication

For enhanced security, enable two-factor authentication (2FA) in your account settings. You can use an authenticator app like Google Authenticator or Authy to generate time-based codes.

Recognizing Phishing Emails

Be cautious of emails asking for passwords or personal information. Check the sender address carefully. Do not click suspicious links. When in doubt, access services directly through their official websites.

App Passwords for Third-Party Apps

If you use apps that do not support modern authentication, you may need to generate an app-specific password. Find this option in your account security settings.

Reviewing Login Activity

Periodically review your account login history in the security settings. Look for any unfamiliar locations or devices. If you see suspicious activity, change your password immediately.
